Presentation Instructions

All regular and invited conference session presentations are in oral format. Student Paper Competition (SPC) finalists will present their work in poster format in addition to the oral presentation for judging.

To be included in the proceedings published in IEEE Xplore, all papers must be presented in person at the symposium, or by virtual video playback if approved by the organizers. If you are unable to present your paper personally, please arrange for someone else to present it. If no one is available to present your work, notify the Technical Program Co-chairs as soon as possible (papers@2026.apsursi.org) so that it can be withdrawn. As per IEEE directives, papers that are not presented will not be included in the conference proceedings on IEEE Xplore.

The session chair(s) for your session will have a Feedback Form where they will mark whether or not your paper was presented during the session. If the Form indicates that the paper was not presented, it will be automatically withdrawn from appearing in IEEE Xplore. Before or after your session, please approach the session chair and make sure that he or she has marked your presence.

Oral Presentations

All oral presentations have been allocated 20 minutes. The 20-minute time slot must include the presentation, questions, discussion, and the transition to the next presentation. Speakers should prepare a 15-16 minute presentation to allow 4-5 minutes for questions. Most speakers cover one to two slides per minute.

  • All presentations must be prepared in PowerPoint (file extension .pptx) or PDF (file extension .pdf).
  • They will be displayed from a PC with Windows 10 and PowerPoint 2016 on a 16:9 format screen.
  • Presenters must load their presentation directly in the presentation room on the day of their talk using USB drive or download.
  • Conference WiFi will be available throughout the venue.

In order to ensure an optimal delivery of your presentation, please stick to the following guidelines in the preparation of your presentation:

  • Your presentation should be 16:9 formatted.
  • Preferred page set-up is landscape orientation (portrait orientation will not be displayed correctly).
  • Use standard Windows fonts only. Try to avoid use of non-standard Windows fonts or language specific fonts.
  • Images: Do not copy and paste the images from another application, please use the “insert image from a file” functionality from PowerPoint (format JPG or PNG).
  • Video: we strongly suggest WMV or MP4 as video formats. To avoid any issue with movies and loops, presentations should be saved as a .pptx files.
  • Apple Keynote users: Please export your presentation and select pptx format in the advanced option dialog. Check your presentation on a Windows-operated computer (preferably Win 10).

Poster Presentations

This year's AP-S/URSI will feature electronic posters displayed on 65-inch monitors located in the exhibit hall poster area. Monitors will be mounted on skirted tables and numbered accordingly, and will be oriented in landscape mode.

Recommended Setup - USB Thumb Drive

For the easiest and most reliable access, authors are strongly encouraged to load their presentation onto a USB thumb drive prior to the start of their session. The optimal file format for thumb drive playback is a JPEG image at 1920 × 1080 resolution, which ensures full-screen, high-quality display on the monitor.

Alternative Setup - Laptop Connection

Authors may alternatively connect their personal laptop directly to the monitor via HDMI. In this case, any standard presentation format is acceptable, including .pptx, .pdf, or .jpeg. Please note that authors are responsible for bringing any necessary adapters or converters compatible with their laptop's ports, as only HDMI input will be available at the monitors.

SPC Poster Presentations

You are responsible for making arrangements to print and transport your poster to the session. The poster boards are 4 feet high by 8 feet wide in landscape orientation. The maximum poster size should be 36” (height) by 56” (wide). This is a landscape orientation, so your poster will be wider than it is tall when viewed. Your poster should be in color (not black-and-white).

The Poster Session will be held from The Poster Session will be held from 8:00 AM - 11:40 AM on Tuesday, July 14th in the Exhibit Hall, located on the 1st floor of the Huntington Place. Please arrive no later than 07:45 AM to check in and prepare your poster. This session will be closed to the general conference attendees and you will present your work to a number of judges who will identify themselves. Please remain near your poster throughout the entire session. You will have the (optional) opportunity to present your poster to the general conference attendees at the same location from during the afternoon session, which begins at noon.

Any posters left after the removal period will be disposed by the Conference Secretariat.
